A reefer load can look fine when the doors close and still be rejected 800 miles later. A missed pre-cool, blocked air chute, low fuel level, or temperature alarm that no one acknowledges can turn a profitable run into a cargo claim. Knowing how to protect refrigerated cargo means controlling the full cold chain, not simply setting the reefer unit and driving.
For owner operators and fleet managers, refrigerated freight carries a higher standard of care than most dry van loads. Shippers, brokers, receivers, and insurers will look closely at the temperature history, loading conditions, equipment maintenance, and driver response when a load is questioned. The paperwork and sensor data matter just as much as the condition of the product at delivery.
Start With the Load Requirements, Not the Setpoint
The rate confirmation, bill of lading, shipper instructions, and product specifications should establish the operating plan before the trailer is loaded. Confirm the required setpoint, acceptable temperature range, whether the product must be run on continuous or start-stop mode, and who has authority to change the setting. Never assume that two products with similar temperature requirements can be handled the same way.
A reefer setpoint is not always the product temperature. Frozen goods may require a different approach than fresh produce, dairy, pharmaceuticals, floral products, or meat. Some commodities need a specific supply-air temperature, while others require the product pulp temperature to stay within a stated range. Produce can also generate heat after loading, especially if it was not properly pre-cooled before it reached your trailer.
If instructions are unclear, get written clarification from the broker, shipper, or receiver before departure. A verbal instruction passed through several people is difficult to defend after a rejection. Document the name of the person who provided direction, the time, and the agreed operating temperature.
Inspect and Pre-Cool the Trailer Correctly
A clean trailer is not automatically ready for a refrigerated load. Before loading, inspect the unit for odor, debris, damaged door gaskets, compromised insulation, floor damage, and blocked drains. Previous cargo residue can create a contamination issue, while a poor door seal can create temperature swings that the reefer unit may struggle to recover from.
Pre-cooling is one of the most misunderstood parts of reefer operation. Cold air must circulate through and around the freight. If pallets are loaded too tightly, stacked above the load line, or pushed against the trailer walls, airflow can be restricted and hot spots can develop. This is especially common when a driver accepts a last-minute overload or allows a shipper to use every available inch of trailer space.
Make sure freight is properly blocked and braced. Product movement can damage packaging, block air channels, or create uneven temperatures during transit. Use load locks, straps, and other securement appropriate for the commodity and trailer configuration. Follow the shipper’s loading pattern when one is provided.
Before the doors are sealed, record the trailer temperature, reefer setpoint, mode, fuel level, seal number, and any visible condition concerns. Photographs of the clean trailer, load condition, pallet placement, and seal can be valuable if there is a dispute at delivery. A few minutes of documentation gives your operation a factual record rather than a memory-based explanation.
How to Protect Refrigerated Cargo on the Road
Once the truck is moving, temperature control becomes a driver-management issue as much as an equipment issue. The driver needs clear instructions on what to monitor, when to stop, and who to call if the reefer unit alarms. For a small fleet, that may be the owner or dispatcher. For a larger operation, it should be a defined after-hours escalation process.
Use telematics and temperature-monitoring systems when the value, sensitivity, or frequency of reefer freight justifies the investment. Remote alerts can identify a rising temperature before it becomes a total loss. However, data only helps if somebody is assigned to act on it. An unattended alert at 2 a.m. is not a temperature-control plan.
During transit, drivers should minimize door openings and avoid unnecessary stops that expose the load to outside temperatures. If an inspection, partial delivery, or cross-dock requires the doors to open, document the event and confirm that the trailer returns to the required operating range afterward. For multi-stop runs, verify which compartments, products, and delivery sequence apply before departure.

A breakdown does not automatically mean the cargo is lost. The response is what often determines the outcome. If the reefer unit fails, notify dispatch and the customer immediately, locate qualified repair service, protect the trailer from heat exposure, and preserve all temperature records. Do not dispose of product, authorize a salvage sale, or make broad admissions of fault without direction from the cargo owner and insurer.
Delivery Procedures Can Prevent a Rejection
Many cargo disputes begin at the receiver. A driver who leaves before obtaining signed delivery paperwork may lose the best evidence that the freight was accepted in good condition. At delivery, record the arrival time, trailer temperature, seal condition, and any delay at the dock. If a receiver claims the load is warm, damaged, or out of specification, request that the issue be documented clearly.
Do not sign paperwork that inaccurately assigns responsibility to the carrier. At the same time, do not argue with the receiver or leave a disputed load without instructions. Contact dispatch, the broker or shipper, and your insurance representative as appropriate. Early notice gives all parties a chance to inspect the product, verify temperature history, and determine whether the cargo can be accepted, reworked, salvaged, or redirected.
For food freight, cleanliness and temperature are only part of the exposure. Sanitary transportation requirements, product segregation, and prior-load contamination can also be questioned. Keep washout receipts, maintenance records, temperature logs, and bills of lading organized by load. If a claim develops months later, these records can be the difference between a defensible claim and an unsupported one.
Match Your Cargo Coverage to Reefer Exposure
Standard motor truck cargo coverage is not identical from one policy to another. Refrigerated carriers should review whether their policy addresses temperature change, refrigeration or heating unit breakdown, mechanical or electrical failure, unattended equipment requirements, theft, salvage expenses, and the commodities they actually haul. Pay close attention to exclusions and sublimits.
